For dialysis centers in the Philippines

Record each session once. The SOA, CSF and Annex A follow.

Secure Code’s Dialysis Center Management System keeps your patients, sessions, PhilHealth billing, sponsor guarantee letters, doctors’ fees and supplies in one place — so your billing staff stop re-typing the same figures every month.

  • Per-session SOA, Feb 2026 format
  • CSF · Annex A · CF-2

The problem

The treatment takes four hours. The paperwork takes longer.

Most of a dialysis center’s back office is the same numbers, typed again.

  • SOAs computed by hand

Every session, for every patient, split between PhilHealth, discounts and what the patient owes — in a format that keeps changing.

  • The same forms, over and over

CSF, Annex A and CF-2 filled in patient after patient, then signed one by one.

  • Guarantee letters that quietly run out

Each sponsor’s GL has its own amount and balance. Miss the moment it’s used up, and the clinic absorbs the cost.

  • Doctors waiting on their fees

Before anyone is paid, someone has to match PhilHealth’s payment list to each doctor’s patients.

The system does this work from what your staff already record: the sessions.

How it works

One loop, from the dialysis chair to the check.

Like the lines on a dialysis machine: red carries the claim out to PhilHealth, blue brings the money back.

  1. 1

    Register and admit

Enter the patient once: PhilHealth member or dependent PIN, contacts, attending physician. Each admission is numbered for you.

  2. 2

    Record every session

Log each treatment with its itemized charges. Your standard items load automatically.

  3. 3

    Bill and print the claim

The SOA is computed per session, with PhilHealth benefits and discounts allocated. Print the SOA, CSF, Annex A and CF-2, or a whole batch at once.

  4. 4

    Log PhilHealth’s payments

Enter each ACPN claim — gross and EVAT — and the system computes the net and links it to the physician.

  5. 5

    Pay your doctors

Each doctor’s fee is computed from their claims, and the check voucher prints ready to sign.

  6. 6

    Collect from sponsors

Track each guarantee letter’s amount and balance, bill the sponsor, and record payments with withholding tax.

Then the next session starts the loop again.

PhilHealth

When PhilHealth changes the SOA, the system follows.

PhilHealth keeps revising the SOA — and we keep up. Every format change since 2024 was rolled out as it came, and the older layouts stay, so a past claim reprints exactly as it was filed.

Setup & hosting

Run it in the cloud — or on your clinic network.

Most centers run it in the cloud: we host and maintain the server, so your team can reach the system from home or anywhere with internet. If your connection is unreliable, the same system also runs entirely on your local network.

On site

On your clinic network

Prefer to keep everything in-house? The database runs on one PC or server, and every workstation connects over your local network — so billing keeps working even when the internet is down.

What you need

  • Windows 10 or 11 PCs for your staff
  • A steady internet connection (for the cloud setup)
  • Or one on-site PC or server (for the local-network setup)
  • A printer for SOAs and PhilHealth forms

Backups & updates

On the cloud, we manage backups and roll out updates for you. On your own network, you back up the whole database to a file in one step and update from inside the app.

Pricing

Every feature, fully installed.

You get the complete system — all modules, nothing sold separately or unlocked later, and it isn’t priced by the size of your center.

What a rollout includes

  • Installation on your PCs and database server
  • Setup of your packages, rates and SOA defaults
  • Training for billing staff, nurses and admin
  • Help importing your existing records
  • Setting up staff logins and permissions
  • Support by phone and Viber

FAQ

Questions clinics ask.

Something else? Ask us directly.

Do we need internet to use it?

Not with the clinic-network setup: the system runs on your local network, so billing continues during outages. The cloud-database setup does need internet.

Is it up to date with PhilHealth’s SOA format?

It includes the per-session SOA and the February 2026 summarized format, and keeps earlier formats for reprints. When PhilHealth changes the SOA or a form, we update the system to match — quoted to the scope of the change.

Which PhilHealth forms can it print?

The SOA, CSF, Annex A and CF-2, with the hemodialysis codes (ICD-10 N18.5, RVS 90935) already filled in. SOAs and CSFs can print in batches.

Can we control what each staff member can do?

Yes. Everyone gets their own login, and you choose what each person can view, add, edit, delete or print in each module — more than 150 separate permissions. Sensitive actions can also require a supervisor’s password.

Can you move our existing records into the system?

We don’t hand-encode your records for you, but if you already keep them in a file or another system, we can help import them during setup — so you start with your real patients already loaded.

How many computers can use it?

As many workstations in the clinic as you need, all sharing one database over your local network. We confirm licensing when we scope your setup.

How long does setup take?

It depends on how many workstations you have and how much existing data to move. We give you a clear timeline when we scope the work, and handle installation, setup and training for you.

What support do we get?

Support by phone and Viber, plus software updates — including new PhilHealth form formats as they come out.

Can we see it in action first?

Yes — we’ll give you a live demo on sample data, walking through admission, sessions, an SOA and the PhilHealth forms, so you can judge it against your own workflow before you decide.
